At the IQusion Days event, IQusion IT LLC presented the possibilities of applying artificial intelligence in corporate business process management systems. During the presentation, new functions of the Scriptum system were demonstrated, which allow integrating AI tools into individual stages of business processes, automating routine operations, and increasing enterprise efficiency.
One of the key themes of the presentation was the transition from using artificial intelligence as a separate auxiliary tool to its direct integration into corporate information systems. This approach allows leveraging AI capabilities where they create the most practical value, while maintaining control over business process execution.
From automating individual operations to intelligent process management
Business Process Management (BPM) systems today ensure the formalization of procedures, task routing, execution deadline control, and interaction between enterprise departments. The implementation of artificial intelligence expands these capabilities through automated information analysis, document processing, and recommendation preparation.
During the Scriptum demonstration, an approach was shown where AI tools are used at clearly defined stages of the business process, without disrupting the overall logic of its execution.
For example, when processing an incoming document, artificial intelligence can recognize its content, determine the category of the request, extract key details, and suggest a responsible executor. At the same time, the decision to approve the document, make a payment, or conclude an agreement remains with the authorized employee.
A similar approach can be applied in procurement, human resource management, customer service, contract work, and internal document flow.
The main advantage of this model is that the enterprise gains intelligent automation capabilities without needing to transfer full control of critical operations to artificial intelligence.
What controlled AI implementation provides
Proper integration of artificial intelligence into corporate systems can provide enterprises with a range of practical benefits.
Primarily, this includes reducing the time for repetitive operations, decreasing manual data entry, accelerating document processing, and increasing information accessibility for management decision-making.
AI can analyze large volumes of unstructured information, prepare concise document summaries, identify discrepancies, and suggest further actions according to established rules.
Integration at the level of individual stages allows for evaluating the effectiveness of the technology based on specific metrics: request processing time, number of corrections, personnel workload, and operation cost.
Thus, the enterprise can gradually expand the use of AI, focusing on the results of practical testing rather than just expectations from the technology.
Why artificial intelligence powers need limitations
Along with new possibilities, AI implementation creates additional risks, especially when the system gains the authority to independently make and execute decisions with legal, financial, or organizational consequences.
Even modern language models can generate inaccurate information, misinterpret context, or reach erroneous conclusions based on incomplete data. In a corporate environment, the consequences of such errors can include incorrect payments, breaches of contractual obligations, disclosure of confidential information, or mistaken decisions regarding clients and employees.
A separate risk is granting AI agents excessive access rights to corporate systems. If an intelligent agent can not only analyze information but also independently modify records, delete documents, approve operations, or initiate payments, an error or malicious manipulation can lead to significantly more serious consequences.
Therefore, one of the fundamental principles of implementation should be the separation of powers: artificial intelligence performs clearly defined functions, and critical decisions go through established verification and approval procedures.
"We see great potential for artificial intelligence precisely in integration with corporate business processes. But the effectiveness of automation should not be measured by the number of decisions the company has transferred to the algorithm. It is much more important to correctly determine where AI can help a person, and where mandatory control must be maintained. In business process management systems, this is especially important, as each action can be part of a complex chain of legal, financial, and managerial decisions," noted Serhii Balashuk, Director of IQusion IT LLC.
European AI Act: new requirements for responsible artificial intelligence use
The issue of controlled AI implementation is gaining particular importance in the context of European regulation.
The European Union's Artificial Intelligence Act (AI Act, EU Regulation 2024/1689) introduces a risk-based approach to the development and use of AI systems. The scope of obligations depends on the technology's purpose, the nature of its application, and the risks to people's rights and safety.
For systems classified as high-risk, the legislation sets requirements for risk management, data quality, technical documentation, event logging, transparency, human oversight, accuracy, reliability, and cybersecurity.
The principle of human oversight is of particular importance. It stipulates that high-risk AI systems must be designed so that authorized persons can properly monitor their operation, understand limitations, evaluate results, and, if necessary, intervene in the system's operation or stop it.
At the same time, the AI Act does not establish a general ban on autonomous AI actions nor does it require human approval for every operation. Specific requirements are determined by the risk category and the organization's role in the system's application.
For companies operating in European markets, this means the need to consider regulatory requirements already at the design stage of digital solutions. Furthermore, the use of AI in HR procedures, employee evaluations, or other sensitive areas requires particularly careful legal assessment.
Scriptum for phased implementation of intelligent automation
The approach to using AI in the Scriptum system, demonstrated during the presentation, involves integrating intelligent functions into managed business processes with clear execution rules and responsibility distribution.
Thanks to this, corporate clients can start with individual tasks—document analysis, request classification, information search, or drafting decision proposals—and gradually move to more complex automation scenarios.
According to IQusion IT LLC specialists, the combination of artificial intelligence technological capabilities with formalized business processes, controlled access rights, and human oversight is capable of forming the basis for secure digital transformation of enterprises.
